Admin/Records Clerk

Who we are:

What you’ll do:

  • Assist legal assistants, attorneys, and paralegals with client filing needs and organization, copy/scan/save/assemble documents, open new matter files and redwelds and related distribution to attorneys.
  • Assist Conflicts Analyst and Records Coordinator with miscellaneous administrative projects, including scanning projects to reduce offsite records storage needs.
  • Process estate planning documents and file wills in the will vault.
  • Perform daily re-shelving of files and minute books placed in file room and file carts.
  • Coordinate offsite storage data and box retrieval/return, including assisting with searches in offsite records database for closed and missing files.
  • Maintain file room as needed and perform timely and accurate data entry related to files and records information into the records management software.
  • Providing receptionist relief for lunch and breaks or overall coverage at reception desk when main receptionist is out of the office.

Who you are:

  • A self-starter with outstanding initiative, organizational and time management skills, and attention to detail.
  • Someone with an Associate’s Degree or an equivalent amount of experience in an office environment, and a minimum of two years in a law firm or other professional services firm.
  • Competent with professional services document management software programs.
  • Experienced with office machines such as copiers, fax, and scanning equipment.
  • Able to accurately type 50 words per minute, competent in Microsoft Word and Outlook, and working knowledge of Microsoft Office Suite.
  • Punctual, personable, reliable, and trustworthy professional who is able to work independently and collaboratively in a fast-paced service environment.
  • Able to communicate effectively in oral and written form and demonstrate logical reasoning skills.
  • Someone who can lift, lower, push and pull up to 50 lbs. of file boxes and documents.

Collections Assistant Administrator

What you’ll do:

  • Assist with collection matters by carrying out prescribed work processes to initiate, enforce, and collect delinquent assessments such as:
    • Process new client/matter forms for opening files and conflicts checks.
    • Order and review routine title searches for Collection Notices.
    • Prepare and process routine Collection Notices to unit owners including electronic recording of liens
    • Prepare and process miscellaneous letters to unit owners and clients as to collection matters
    • Review incoming mail including scanning and saving documents in the ReadyCOLLECT document management system; Insert notes in ReadyCOLLECT as to return letters, i.e. collection letters and certified letters
  • Assist with foreclosure cases by monitoring the various steps in the foreclosure process:
    • Access and obtain on-line case information.
    • Prepare and process letters to clients with regard to foreclosure matters.
    • Communicate with foreclosure attorneys, as needed.
  • Client service responsibilities:
    • Interact with property managers, outside counsel and delinquent unit owners.
    • Prepare eviction lawsuits including post judgment collection proceedings, i.e., evictions, citations to discover assets and garnishments proceedings.
    • Check status of pending bankruptcy cases.
    • Prepare proof of claims and motions to lift automatic stays in pending bankruptcy cases.

Who you are:

  • Someone with prior collection experience and e-filing experience, preferably in a law firm or other professional services firm (prior collection experience is required regardless of the setting).
  • Possessing strong fundamental mathematics skills for application to areas such as invoicing, calculating delinquent accounts and applying payments to past due accounts.
  • A professional with a “can-do” attitude, creative problem-solving ability, and meticulous attention to detail.
  • Exceptional communicator with a wide range of people skills, including being articulate and an excellent listener.
  • Able to communicate effectively in oral and written form and demonstrate logical reasoning skills.
  • Proficient in Microsoft Office Suite programs such as Word, Excel and Outlook; PDF programs such as KOFAX PowerPDF or Adobe, and knowledge of ReadyCOLLECT collection software for law firms, attorneys, and management companies.
  • Able to work independently and collaboratively as a team, sometimes with minimal oversight, in a fast-paced service environment.
  • Fluency in Spanish a plus.

Corporate and Estate Planning Legal Secretary/Assistant

What you’ll do:

  • Provide administrative and executive support for corporate and/or estate planning attorneys.
  • Accurately edit and format legal documents, including but not limited to Agreements, Contracts, Affidavits, Auditor’s Letters, Waivers, Promissory Notes, and Opinion Letters.
  • Assist attorneys with the various tasks and procedures associated with corporate closings.
  • Accurately prepare first-draft template, edit and format estate planning documents such as wills, trusts (e.g., revocable, irrevocable, special/supplemental needs and insurance), and powers of attorney.
  • Attend estate plan signings acting as a witness and/or notary, if commissioned.
  • Assist clients with locating and marshaling estate and trust assets.
  • Assist with trust administration in support of planning structure.
  • Create electronic and/or hardcopy closing binders of completed estate plan documents and/or corporate transactions.
  • Interface with clients and direct communications within the realm of knowledge and responsibility, where a legal opinion is not required.
  • Organize and maintain physical files for attorneys including filing correspondence and/or legal documents in a physical office filing system as well as an electronic document management system.
  • Prepare basic correspondence, engagement letters and conflict letters in both physical and electronic forms for attorney’s review.
  • Assist with opening new business matters, including preparing, editing and/or formatting engagement agreements and conflict waivers where applicable.
  • Analyze incoming correspondence for appropriate action and reply if pertaining to scheduling, billing or other administrative matters.
  • Close files in preparation for sending to offsite storage.
  • Schedule meetings/other appointments and conference/video calls including maintaining and administering an ongoing follow-up schedule for a client’s estate planning process according to the attorney’s needs.
  • Maintain client contact lists and attorney’s calendar in Outlook.
  • Prepping monthly expenses for reimbursement and assisting with tracking attorney’s CLE credits in Illinois and possibly other jurisdictions.

Who you are:

  • Someone with 3-5 years of legal secretarial/assistant experience in corporate, wealth preservation and estate planning practice areas, and familiarity with corporate organizational documents such as articles of incorporation, bylaws and other formation documents.
  • A person with demonstrated mastery of the English language, both oral and written; and possessing exceptional attention to detail, proofreading and organizational skills.
  • Someone with an exceptional ability, professionalism and emotional IQ to connect with clients, while focusing on service, understanding and demonstrating an exceptional level of responsiveness.
  • A person with a general knowledge of standard estate planning documents and their typical use and function and with proven ability to prepare, edit and/or format such documents.
  • A person with “mad” tech skills for today’s hybrid working environment. Specifically having advanced knowledge of: Microsoft Word 2016 & Word styles; Outlook (email and calendar scheduling, entry and maintenance of contacts); PDF programs (able to manipulate PDFs such as add text, change text, extract or add pages and perform conversions from Word to pdf and vice versa) and can type/keyboard 70-80 wpm (error free).
  • Someone with proficiency in: Excel, PPT; time-entry programs; Winscribe (machine transcription); Workshare compare (redline/blackline documents) and document management programs such as NetDocs (experience with and understanding of the search and filing functions). Also have knowledge of Calendly, with videoconferencing programs such as Zoom and knowledge of office equipment such as fax machines, scanners, photocopiers and calculators.
  • A positive, flexible and proactive self-starter who has strong problem solving, social and interpersonal skills and can function both independently and within a team.
  • A strong communicator who is able to manage time and priorities, work collaboratively with attorneys to agree and juggle multiple assignments and deadlines, interface with clients and teammates.
  • A discerning individual who can work interdependently, promote inclusivity and maintain perspective and objectivity in a workplace.
  • A roll-up-your-sleeves team player who will pitch in where needed which could include assisting with reception coverage on a seldom, but as needed, basis.
