Commercial Litigation Paralegal

Who we are:

What you’ll do:

  • Work alongside seasoned attorneys during all phases of the litigation process.
  • Organize documents and coordinate document production. Conduct Bates-stamping, redaction, duplication and indexing of documents. Set up and maintain files chronologically, numerically and/or by subject matter.
  • Conduct various document searches and factual case law research. 
  • Prepare witness and matter materials for case preparation. Organize interview memos, digests and other relevant documents for attorney review and case preparation.
  • Prepare for and assist at depositions. Under attorney supervision, gather and prepare documents, organize exhibits, take notes and handle exhibits during deposition.
  • Prepare for and assist during trials. Organize exhibits, files and all other supporting documents, coordinate trial set-up and logistics, marking documents referred to by counsel, assist in preparation of witness testimony.
  • Pull relevant documents, proofread papers, organize exhibits and create document indices in preparation of motion filing.
  • Work with attorneys in the preparation and filing of all court documents. Organize briefs, exhibits and appendices.
  • eFile documents in local courts and collar counties.
  • File correspondence and/or legal documents in office filing system.

Who you are:

  • Someone with the following education, job experience and technical skills:
    • A Bachelor’s degree unless professional experience level replaces this.
    • A minimum of 5 years in litigation support, preferably in a law firm or other professional services firm.
    • Proficiency with litigation document management and discovery software platforms such as Everlaw, Summation or similar platforms.
    • Experience with litigation research, process and support while demonstrating logical reasoning and critical thinking skills.
    • Competency with professional services and document management software programs required unless commensurate experience replaces this.
    • Proficient in Microsoft Office suite of programs with competency in Word, Excel, Outlook and PowerPoint.
    • Proficient with pdf program functionality, preferably Tungsten Power PDF.
    • Knowledge of all office equipment such as fax machines, scanners, photocopiers and calculators.
  • A collaborative, all-around team player who:
    • Shows outstanding initiative, organizational skills and great attention to detail.
    • Has the ability to communicate effectively in oral and written form with stakeholders at all levels.
    • Can work independently and interactively in a demanding service environment, including willingness to “do what it takes” on demanding litigation matters.
    • Keeps a professional appearance, has a can-do service attitude and maintains discretion above reproach.
    • At times will have to lift (up to 50 lbs.) file boxes and documents.

Complex Commercial and Products Liability Litigation Legal Secretary/Assistant

What you’ll do:

  • Provide administrative and executive support for 3-4 attorneys in our commercial litigation practice.
  • Prepare complaints, discovery, summonses, orders and subpoenas, notices, coordinate accompanying documents, motions and affidavits for filing and service.
  • Electronically file documents in Federal and Circuit Courts, including collar counties.
  • Set-up process servers as directed.
  • Transcribe and prepare briefs and correspondence via electronic dictation. 
  • Analyze incoming emails and correspondence for appropriate action and reply, as directed, if pertaining to scheduling, billing or other administrative matters.
  • Create, organize and maintain files for attorneys.
  • File correspondence and/or legal documents in office filing system.
  • Assist with opening new business matters and preparing client engagement letters.
  • Proactively manage diaries, calendars and court dates in Microsoft Outlook.
  • Other duties as assigned.

Who you are:

  • Someone with at least 5 years of legal secretarial/assistant experience in commercial litigation.
  • Possessing knowledge of the following:
    • E-filing in Odyssey and CM/ECF.
    • Familiarity with county clerk websites such as Cook, DuPage, Kane, Lake, McHenry, and Will Counties; and knowledge of various judges’ Standing Orders.
    • How to look up court forms on the various court websites, how to edit and save these forms into a document management system (experience with NetDocuments a plus), how to use the CCC Portal and collar counties’ Order retrieval system.
  • Experienced in preparing briefs and citing case law, with knowledge of trial preparation and researching the web for court rules and regulations.
  • A person with “mad” tech skills for today’s hybrid working environment. Specifically having advanced knowledge of: Microsoft Word 2016 & Word styles; Outlook (email and calendar scheduling, entry and maintenance of contacts); PDF programs (able to manipulate PDFs such as add text, change text, extract or add pages and perform conversions from Word to pdf and vice versa) and can type/key 70-80 wpm error free.
  • Someone with proficiency in: Excel, PPT; legal billing and time-entry systems such as E55; Winscribe (machine transcription); Workshare compare (redline/blackline documents) and document management programs such as NetDocs (experience with and understanding of the search and filing functions). Also have knowledge of Calendly, with videoconferencing programs such as Zoom and knowledge of office equipment such as fax machines, scanners, photocopiers and calculators.
  • A person with demonstrated mastery of the English language, both oral and written; and possessing exceptional attention to detail, proofreading and organizational skills.
  • A strong communicator who is able to manage time and priorities, work collaboratively with attorneys to juggle multiple assignments and deadlines, and effectively interface with clients and teammates.
  • A positive, flexible and proactive self-starter who has strong problem solving, social and interpersonal skills and can function both independently and within a team.
  • A discerning individual who can work interdependently, promote inclusivity and maintain perspective and objectivity in a workplace.
  • A roll-up-your-sleeves team player who will pitch in where needed, which could include assisting with reception coverage on a seldom but as needed basis.
  • Professional in appearance and demeanor, with the ability to maintain a high level of confidentiality.
